About Position and Department
This is an hourly, non-exempt position. This position is in the administrative office and reports directly to the Finance and Accounting Manager. This position will be part of a dedicated, service-oriented team where collaboration and leadership are promoted at all levels.
Essential Functions
Answers phone calls and supports customers and visitors in our administrative office.
Works closely with other District personnel in the scheduling of day-to-day operations, including coordination of calendars for scheduling meetings.
Accepts payments and issues receipts to customers and prepares the daily deposits of same-day receipts.
Performs a variety of clerical and administrative tasks, including opening and distributing mail daily and preparing materials for distribution.
Maintains customers' records and accounts, including but not limited to updating, receiving and processing new applications, terminating/discontinuing accounts.
Responds to and resolves inquiries for customers regarding District policies and procedures, as well as inquiries and concerns regarding rates and billing.
Enters and retrieves data from an online or personal computer system and uses technology to produce various reports.
Coordinates and schedules District vendors (HVAC, landscapers, cleaners, etc.).
Assists all departments with record retention, ordering supplies/uniforms, and all other administrative support.
Supports team by performing tasks related to organization and strong communication.
Other Duties and Requirements
Research, tracking and reporting as needed.
Performs related duties as assigned.
Comply with all District policies throughout employment.
Knowledge, Skills & Abilities
Diablo Water District evaluates candidate qualifications based on an equivalent combination of education and experience. For example, if a candidate does not possess a college degree (applicable to some jobs) but possesses double the number of years required relevant experience, this may satisfy the minimum job requirements. Aptitude for enhanced customer service.
Proficient in 10-key by touch (On-site test to include 10-key and basic word and excel).
Proficient in Microsoft Office Software Suite.
Work collaboratively as part of a team.
Strong attention to detail.
Required Licenses and/or Certifications
Maintain a valid California Class C Driver License throughout employmen Failure to obtain or maintain such required license(s) may be cause for disciplinary action. Possession and proof of a driving record free of multiple or serious traffic violations or accidents for two (2) consecutive years.
