The Mojave Water Agency is seeking one full-time position in our Administration Department for either an: ADMINISTRATIVE ASSISTANT OR SENIOR ADMINISTRATIVE ASSISTANT COMPENSATION The Administrative Assistant is a non-exempt position with an annual salary range of $40,673 - $56,943; paid bi-weekly The Senior Administrative Assistant is a non-exempt position with an annual salary range of $54,701 - $76,581; paid bi-weekly THE POSITION The ideal Administrative Assistant candidate will perform a variety of clerical and administrative duties, which may include word processing, data entry and organization, telephone and counter reception, processing of documents, recordkeeping, and filing; creates routine forms, memoranda, correspondence, and/or reports; provides information and assistance to staff and the general public; and performs related work as required. The ideal Senior Administrative Assistant candidate will Under direction of the Department Head, performs a variety of administrative, secretarial duties and office support duties of considerable complexity; provides administrative support to various departmental staff; composes and prepares correspondence using considerable judgment in content and style; performs skilled word processing, data entry and organization, telephone and counter reception, processing of invoices, recordkeeping, statistical and technical report preparation, and filing; provides information to the public and Agency staff; may provide training, technical and functional direction to related staff; and performs related duties, as assigned. Some examples of essential job functions, knowledge and abilities are: Performs a variety of support duties related to the work unit to assist staff in routine office activities; Performs receptionist duties, including greeting visitors and directing them to proper area, operating the switchboard and taking messages, answering questions from the general public received by telephone or in person, and providing quality customer service; performs other routine clerical support work as required, which may include, but is not limited to, copying documents, filing/retrieving files, processing mail, faxing information, collating documents, maintaining lists and logs, scanning/imaging/indexing documents, opening and distributing mail, processing incoming and outgoing mail, May perform various bookkeeping duties, which may include, but are not limited to, preparing and processing invoices and reconciliations, verifying and checking transactions to ensure accuracy and completeness, entering data, and generating reports using an accounting database; records and transcribes minutes for committees, as directed. Provides various administrative and secretarial support to Senior Managers and/or assigned unit, including reviewing and prioritizing business correspondence; collecting, compiling, and analyzing data for miscellaneous projects; and responding to customers’ inquiries over the telephone by providing quality customer service; Types and/or word processes complex and/or sensitive documents from drafts, notes, dictated tapes, or brief instructions; Proofreads materials for accuracy, completeness, and compliance with departmental policies and regulations; provides training to staff on various automated systems, including the current document management system in place. Recordkeeping, report preparation, and filing systems and methods; Principles and practices of effective customer service; Business letter writing and the standard format for typed materials; Principles and techniques for working with groups and fostering effective team interaction to ensure teamwork is conducted smoothly. MINIMUM QUALIFICATIONS Qualified candidates will possess: High school diploma or G.E.D. and two (2) years {for Administrative Assistant} OR four (4) years {for Senior Administrative Assistant} of administrative, clerical or secretarial experience, preferably with a public agency LICENSES & CERTIFICATIONS - Valid California Class C Driver’s License and current automobile insurance.
