Professional Development Coordinator Non-Exempt The Professional Development Coordinator will report to the Professional Development Director. Components of the position include: PROFESSIONAL DEVELOPMENT PROGRAM/MEETING LOGISTICS The Professional Development Coordinator will work with the Professional Development Director to help facilitate the logistical planning of all professional development workshops, conferences and other events for the California Special Districts Association and other organizations brought in under administrative services agreements. Primary responsibilities include, but are not limited to: - Providing coordination and support to the Professional Development Director.
- Take a leading role coordinating the meeting planning aspects of CSDA professional development workshops & conferences; including assisting with recommendation and selection of sites, coordinating facility arrangements, audio/visual set-up, catering, speaker agreements, coordinating instructors and preparing workshop & breakout materials.
- Assist with hotel contract negotiations and establishing room blocks.
- Upload all events into IMIS using standardized formatting and naming conventions.
- Serve as the primary staff contact for all workshop and webinar promotion including: weekly enews, targeted eblasts, social media posts and flyer text.
- Support Professional Development Director and assist in event coordination including: compiling RFP responses, coordinating site visits, booking entertainment, offsite event venues, transportation and other event related logistics.
- Organize and compile handouts, materials and presentations for each conference.
- Coordinate event marketing materials including agendas, signage and slides with the Publications Department for all conferences.
- Compile event evaluation data from each event and report results in a timely manner.
- Oversee registration duties for all events; including data input and ongoing data management.
- Working with Member Services Specialist and iMIS task center automation, track and report attendance figures for each event.
- Coordinate input of data into conference mobile apps as needed.
- Help solicit and compile speaker proposals for workshops, webinars, and conferences.
- Serve as the primary contact for all conference exhibitors after they have been registered for an event. Includes coordination of exhibitor set-up, email communications etc.
- Serve as the primary contact for the CSDA Annual Conference & Exhibitor Showcase Trade Show Decorator.
- Setup and organize onsite registration for workshops and events.
- Assist the Professional Development Director in the coordination and oversight of the Annual Conference including managing conference registrations, speaker and exhibitor coordination and other duties as assigned.
- Special projects as they relate to the Professional Development Department.
MISCELLANEOUS The Coordinator will be responsible for reviewing bills from event sites after the events, checking for accuracy and coding as appropriate for accounting. Perform other related duties as requested. |
