Under general direction of General Manager or Human Resources Manager, (dependent upon organization structure) serves as the Clerk of the Board and provides confidential administrative assistance to the Board of Directors and the General Manager or Human Resources Manager; plan, organize and lead the activities of an administrative technical support; perform confidential work as well as serves as the primary contact for internal and external customers regarding administrative, facilities, parks and recreation divisions; oversee office management duties; perform work on special projects; assist the General Manager or Human Resources Manager in the planning and organization of various technical and administrative activities of the District and other related duties as required.
Essential and other important responsibilities and duties may include, but are not limited to, the following:
Serve as Board Clerk to the Board of Directors; prepare agendas; record and transcribe minutes of board meetings; post board minutes and resolutions; schedule Board committee meetings and appointments; arrange for publication and posting of public and closed hearing notices; maintain board documents as required by the records retention policy or by state law; and provide administrative support as required by the Board.
Provide administrative support to the District General Manager/Human Resources Manager.
Assist in the assignment of work for subordinates; prioritize and monitor work flow of administrative support as well as IT, web, Digital Marketing staff and contractors.
Prepares memorandum, correspondence, meeting materials, presentations, other documents and reports, including those of confidential nature; ensures materials, contracts and reports for signature are accurate and complete and properly tacked; proofreads and checks typed and other materials for accuracy, completeness and compliance with District standards, policies and procedures.
Assist departments to review, verify and perform data entry for registration/reservation software.
Monitors and oversees service agreements and operation of audio-visual, phone systems and office equipment.
Performs special projects; researches and assembles information from multiple sources for inclusion in reports.
Coordinate work to update website.
Perform other related duties and responsibilities as required and/or assigned

Administrative professional with at least five years of progressive work experience in a mid-level administrative position, preferably in a public agency. One Year experience as Board Clerk. 2 years in supervisory capacity. Must possess a working knowledge of the Brown Act (public meeting laws). Proficiency in Microsoft Office, Adobe Acrobat and Social Media web platforms. A successful candidate will have strong skills and abilities in interpersonal communication, both oral and written; organizational workflow and systems administration; independent problem-solving; customer service; and research and analysis. The candidate must have excellent judgment in maintaining confidentiality and addressing sensitive matters. At times the public can disagree with the requirements of regulatory agencies and may be difficult to work with. This position must be able to handle these types of situations with diplomacy and tact.
Additional Salary Information: BENEFITS
•Retirement Plans – CalPERS 2% @ 55 for classic members or 2% @ 62 for new members as defined under PEPRA. GVRD does not participate in Social Security
•Health Plan – District’s present contribution covers premium for employee plus portion of family coverage.
•Dental/Vision Insurance – GVRD pays premiums for employee and dependents.
•Life Insurance - $50,000 coverage

•Holidays – 13.5 days per year

About Greater Vallejo Recreation District
The Greater Vallejo Recreation District is a Special Service District that has been serving area residents for over sixty years. As a Special Service District, GVRD operates as a separate government agency from the City of Vallejo. GVRD manages 407 acres of public park space including 20 neighborhood parks, 10 community parks, 6 special purpose parks, and Olympic-size swimming pool and 4 community centers. GVRD maintains over 1,000 acres of public land.
GVRD is governed by a five-member Board of Directors. With 30 plus full time and approximately 155 part-time and seasonal employees, GVRD operates on a 2018-2019 fiscal year budget of $7.9 million for general fund operations and Measure K funding amounting to $2.2 million. The Measure K funding is being utilized to purchase necessary equipment, improve parks, facilities.
