Under direction of the Executive Director performs a wide variety of responsible, confidential, administrative and analytical, duties for the Executive Director of the Inland Valley Development Agency and the San Bernardino International Airport Authority. Serves as contact and liaison for assigned functions and programs with Agency departments and staff, the general public, and outside agencies and organizations.
Essential Duties (partial list):
Maintains the Executive Director’s calendar; coordinates, arranges and confirms meetings, appointments, social engagements and community/intergovernmental events; screens requests for appointments; makes and confirms travel arrangements for the Executive Director and management staff; submits conference registration; arranges hotel and flight reservations. Responds to requests and inquiries from the general public.
Coordinates logistics and materials for on-site and off-site meetings and presentations.
Responds independently to email and composes correspondence regarding a variety of current projects or organizational matters.
Drafts, maintains, and administers a variety of documentation including annual consultant contracts. Tracks budget expenditures associated with each contract.
Collects, compiles, and files information from various sources on a variety of specialized topics related to programs administered by the position or by management staff.
Organizes, maintains, and controls access to certain filing systems and records including sensitive files; conducts periodic retention and purging of files in compliance with the Agency’s Records Retention Schedule.
Education and Experience:
Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying.
A Bachelor's Degree from an accredited college in public or business administration or other relevant field of study and a minimum of three (3) years of professional level experience performing administrative, secretarial, and clerical duties
Experience as an executive level secretary or administrative assistant in the public sector, special district, or joint power authority is preferred.
